Overview
Follow-ups combines pending work, recent completion history, and authorized employee-only reporting for the selected client. Authorized employee views now use the shared leading-chevron row anatomy and revised five-field collapsed row across the selected-client board. The row keeps Prospect, Action, Follow-up Date, Campaign, and truthful Set By visible, with responsive wrapping and stable workflow actions. Client users retain their established row presentation. Server rollback settings can return accounts outside the proven exact cohort to the prior layout, and independent emergency switches can withhold the shared layout or row revision everywhere. These presentation controls grant no new records, stage evidence, Calendar access, note or date authority, completion action, status write, or Dialer scope. Employee views also receive read-only numbered stage evidence across the board except for the exact excluded account or an emergency switch. A row with trustworthy family-specific evidence can show 1st, 2nd, or 3rd+ Follow-Up. Authorized employees choose Follow-Up Stage inside Filters, then apply the stage they need. Uncertain history stays visible without a numbered badge in All Active and the family queue instead of being guessed. In authorized employee views, the Pending actions summary separates filtered active Potential work into Interested prospects and legacy follow-ups, so the summary matches the rows still visible after the current filters. Across authorized employee Follow-ups views, every expanded row uses one filterable Activity Notes timeline with explicit source counts, exact-source coverage, and reversible grouping for consecutive calls that share the same result, SDR, and direction. The timeline keeps routine calls compact, gives meaningful outcomes and notes stronger bordered rows, and aligns source, actor, duration, and prospect-local time as readable metadata that wraps on smaller screens. Expanded Potential rows keep Add Note below the stream and refresh it immediately after a successful save. Legacy call activity names a recovered caller only when SalesHive has exact evidence. Older migrated calls without reliable actor evidence show Caller not recorded, and provenance-only migration notes stay hidden. Client users keep their established authorized history presentation. Every internal selected-client Follow-ups board also has the complete page-specific property filter builder. Add Action Type, Follow-Up Date, Workflow State, Due Timing, Set By, Campaign, Prospect or Company, Title, or Timezone rules, then apply them together. Set By uses family-specific historical evidence and never substitutes the mutable Owner. These filters narrow only the records the viewer could already access and do not grant Calendar, dialing, client access, workflow, or write authority. In a separately enabled employee cohort, supported Potential, Asked for Info, Referral, and Reschedule rows place No Longer Pursuing below successfully loaded Activity Notes. The action stays hidden while activity loads or fails, and a failed read offers Retry Activity Notes. Confirmation explains that the prospect leaves active Follow-Ups, any open Callback tasks also close, and the contact is neither archived nor deleted. Retained closure history remains readable for its authorized account even when new closure actions are turned off. Potential and Asked for Info rows use the Dialer's current calling safety decision before a call begins. A blocked row stays visible with a plain reason, but Call and selection remain unavailable until the guard clears. Authorized employee Potential and Asked for Info rows can also show the newest completed outbound call beneath the prospect. A call in the latest five SalesHive business days receives the compact recent treatment, older calls keep their exact date, and a prospect without a completed outbound call says No completed call. This read-only context does not change queue membership, sorting, selection, status, or dialing. Reschedule rows keep their stored scheduled follow-up day visible after a same-day call, including when an expanded date is read-only. The displayed day also drives Overdue, Today, Upcoming, Follow-Up Date property rules, and normalized action timing, while the completed call remains separate history. Enabled employee workspaces add Due this week, call-recency filtering for focused Potential and Asked for Info queues, stable Pending sorting, and a dedicated Last Called column. A separately enabled strict All view is review-only and moves every action into its focused family tab.
How to use this page
Open the selected-client worklist
Open Meetings > Follow-ups and choose a client in the switcher. Pending and Done are available in the standard worklist. Authorized employee views use the shared leading-chevron row presentation across the selected-client board. Every internal selected-client board has advanced property filters. Stage and Calendar controls still depend on their separate authorization. Client users retain their established presentation.
Filter the work
Search by prospect, company, or title, choose campaigns, choose Set By when available, and select All Timing, Overdue, Today, Upcoming, or Needs date. Enabled employee workspaces also offer Due this week, which covers Monday through Friday in each prospect local week. Every internal selected-client board can open Filters and use Add property for Action Type, Follow-Up Date, Workflow State, Due Timing, Set By, Campaign, Prospect or Company, Title, or Timezone. Property rules combine with one another and the shared controls. Draft property and stage choices take effect only after Apply Filters. Clear removes one draft stage or rule, while Clear All resets campaign, Set By, timing, stage, and property rules. Referral is available as an Action Type for Pending work.
Read the Potential breakdown
In an authorized employee view, the Pending actions summary separates the filtered active Potential queue into Interested prospects and legacy follow-ups. The wording uses the same Potential rows that remain after the current search, campaign, Set By, timing, and stage filters. Client users retain the general Potential summary, and the breakdown does not change access or workflow authority.
Read the revised collapsed row when enabled
Authorized employee views use five collapsed fields across the selected-client board: Prospect, Action, Follow-up Date, Campaign, and Set By. When phone data provides a prospect timezone, the Prospect field also shows the prospect local time beneath the company. Date, Campaign, and Set By align through the center of the row. When a revised Potential or Asked for Info row does not have date-edit authority in this view, the date uses the same compact date card as an editable row but remains read-only. Wide rows balance the five fields without forcing horizontal overflow. A long Set By name stays on one line with the full value available from its hover title. Mark done, when available, sits immediately left of Call, while Call stays pinned to the primary right-side slot. On narrower screens, the fields wrap into two columns and then one column, Set By can wrap, and the action rail moves below without changing what the controls do. A server rollback can return accounts outside the proven cohort to the prior row presentation, and an emergency switch can withhold the revision everywhere without changing the work itself.
Use the Last Called column when enabled
In an enabled employee Follow-Ups view, use the Last Called column after Follow-Up Date to scan the newest qualifying completed outbound call for every visible family. A short date identifies the newest qualifying call, and No completed call means none was found. Hover the date for the full Eastern date and time. Inbound calls, dialing placeholders, skipped calls, future calls, and migrated calls without a disposition are excluded. The column is read-only and does not change the row, follow-up stage, selection, or Call action.
Sort and review the enabled workspace
Enabled employee workspaces can sort Pending rows by the current order, prospect, company, follow-up date, Last Called, campaign, or Set By. Each field offers the relevant ascending and descending order, and missing values stay at the end except Last Called oldest first, where contacts with no completed call appear first. On focused Potential and Asked for Info tabs, Call recency can show calls within the latest five SalesHive business days, older calls, or contacts with no completed call. When the separately enabled strict All overview is active, All removes Call, selection, note, date, completion, and other workflow controls. Choose a focused family tab before taking action. These controls only filter, reorder, or present rows the viewer could already access.
Open the source page from revised details
For a revised Potential row, choose the leading chevron. Read the role, then scan Activity and Notes in separate read-only columns with per-column counts. Activity contains calls, responder emails, and manual follow-up date updates. Notes contains saved notes. On narrow screens, Notes stacks below Activity. Use Open Potential Meetings at the bottom when you need the full source record. A revised Reschedule row keeps the established combined Activity and notes history before Open Booked Meetings. The source link remains available when a revised Potential row also shows a numbered stage, while the collapsed action rail keeps Call as the primary workflow action.
Use the Activity Notes timeline when enabled
In any authorized employee Follow-ups view, expand a row to use one Activity Notes timeline. Choose All Activity, Calls, Notes, Emails, or Updates. Each filter shows its count in parentheses, and zero-count filters stay visibly disabled. Routine no-answer, voicemail, and busy calls use a compact row. Notes and meaningful outcomes use stronger bordered rows, while source, actor, duration, and prospect-local time stay aligned as bullet-separated metadata that wraps on smaller screens. Consecutive calls group only when the result, SDR, and direction all match. Open a grouped card to review every exact call record. Coverage is explicit: the latest 20 calls, responder-sent emails, saved notes, follow-up-date updates, and one earlier note when present. Inbound emails and complete status-change history are not included yet. In an expanded Potential row, use Add Note below the timeline. After a successful save, SalesHive refreshes the timeline so the new note appears immediately. The presentation uses existing note authority and grants no new records, date edits, Calendar access, completion actions, or Dialer scope. Legacy call items name the recovered caller only when exact evidence supports it. Otherwise the actor reads Caller not recorded, and technical migration-only notes are omitted from the stream. Client users keep their established authorized history presentation. If the activity read fails, choose Retry Activity Notes. Final close actions remain hidden until the exact prospect history loads successfully.
Read standard family rows
Client users and any employee account temporarily returned by a server rollback keep the established family-row presentation. Those rows retain their prior positional columns and responsive layout, with the same prospect, action, date, campaign, and available controls. The presentation difference does not change access, data, or workflow authority.
Interpret Set By accurately
Potential uses the original Potential setter. Asked for Info accepts only an exact audited Dialer transition actor. For the Willwork recovery canary, exact native Asked for Info calls and explicit timestamped legacy evidence mapped to one active SDR may also identify the setter, but every usable source must agree. Broad edits, maintenance activity, incomplete evidence, and conflicting people remain Not recorded. Callback uses the task creator. Confirmation and Reschedule use the meeting setter. Referral remains Not recorded until a separately approved creator source exists. SalesHive never substitutes the current Owner.
Use stage filters when enabled
Open Filters and use Follow-Up Stage to choose All Active, 1st Follow-Up, 2nd Follow-Up, or 3rd+ Follow-Up, then choose Apply Filters. Clear resets only the draft stage choice to All Active, while Clear All resets the applied stage and the other shared filters. SalesHive counts family-specific evidence after the verified starting event. Potential follows the same current engagement step used by Potential Meetings and adds only later no-answer or busy calling sessions that the durable step does not already represent. Asked for Info combines its non-overlapping legacy evidence and native Follow-ups sessions. Reschedule uses verified outreach for the current meeting slot and does not count an older slot or add duplicate representations of the same pass. Multiple phone attempts during one scoped Dialer session count as one calling pass. A row whose starting point cannot be verified stays in All Active and its family queue without a numbered badge, and it does not enter a numbered filter. Client users and the exact excluded account keep the family view without numbered stages.
Use the family view when stages are withheld
Client users and the exact excluded account continue with All or a focused family such as Confirmation, Reschedule, Asked for Info, Referrals, or Callback. Search, campaign, Set By, timing, dialing, completion, and Calendar permissions keep their normal behavior. An employee row without verified stage evidence also remains workable in All Active and its family view without a numbered badge.
Scan Pending All by action family
Choose Pending and All for the combined overview. Approved presentations show one visible total, then place each available action family in a separate section. If the Potential section has no eligible rows after the current filters, it says No potential meetings and suggests adjusting the Follow-ups filters instead of disappearing. Open the leading chevron for engagement, source-page links, and supporting context. In the revised layout, Campaign remains visible while the row is collapsed, so it is not repeated inside the expanded panel. Every family's permissions, save rules, and Dialer route stay the same.
Read Callback in the revised combined view
In the revised Pending All layout, Callback rows begin directly inside the shared family worklist. The repeated Callback heading and introductory paragraph are omitted because the page tabs and each row badge already identify the family. The section keeps its accessible Callback label. Open the focused Callback tab when you want the existing callback instructions and completion context.
Choose a focused family
Choose Confirmation, Reschedule, Asked for Info, Referrals, Callback, or another available family pill when you want only that queue. Authorized employee views keep the shared leading expand anatomy in each focused Pending family. Potential uses the established orange highlight and Callback uses purple. A numbered stage sits below the family pill only when separate evidence supports it. Unknown stage evidence stays hidden instead of appearing as an error badge.
Work calls, dates, and outcomes
Use Call on an eligible row or a focused-family campaign call control. Potential and Asked for Info rows use the Dialer current calling safety decision before opening a session. A blocked row remains visible with the exact reason, but Call and bulk selection stay disabled for terminal or booked status, contact or domain blocks, another booked or qualified company contact, another SDR active session claim, or no usable campaign. Select all and the callable count include only eligible rows. Other eligible families keep their established campaign-scoped Dialer rules. On a revised Confirmation row, Mark done appears immediately left of Call and records the selected outcome. Referral remains Pending-only. Asked for Info preserves the selected calendar day. A Reschedule row continues to show its stored scheduled follow-up day after a same-day call, whether the expanded date is editable or read-only, and that day remains the source for timing and date filters. The completed call stays in Activity Notes instead of replacing the schedule with Called today. Confirmed by email records audit evidence but leaves the required call due, while a provider-backed Confirmed call for the exact meeting time completes the remaining confirmation milestones for that time. After End Session, summary close, or Back to Campaign, a session launched here reloads its originating Follow-ups tab from the server so current callback dates and completion state replace the pre-call cached worklist.
Review history before closing a follow-up
Where the separate employee close action is enabled, expand a supported Potential, Asked for Info, Referral, or Reschedule row and wait for Activity Notes to load. Review the evidence, then choose No Longer Pursuing below the timeline. Confirm only when you are ready to remove the prospect from active Follow-Ups. SalesHive preserves the prior state, closer, and time, completes every still-open Callback for that prospect, and does not archive or delete the contact. Potential, Asked for Info, and Referral move to Unresponsive. Reschedule keeps the meeting status and closes its strategist review as No response. Confirmation and Callback rows do not offer this action. Retained history remains available through Filters > Follow-Up Stage for its authorized account even when new close actions are off.
Export and review history
Export CSV follows the current tab, family, search, campaign, Set By, timing, stage, Calendar family, and applied property filters. Done shows the most recent 14 days of supported completed work. Historical rows are filtered only by evidence retained in that projection. A date, timing, timezone, action family, or Set By rule with no supported Done evidence returns no inferred match. No Longer Pursuing remains separate retained history only in the established history-enabled account.
Use Calendar when authorized
Open Calendar to load dated actions only when that staff view is authorized. Pending and Done remain available while it loads. Use Day, Week, or Month and the family pills, and choose Retry if the read fails. Referrals remain outside Calendar.
Review a custom outcome report
Choose an available custom outcome tab to review contacts whose latest completed call has that exact enabled disposition. Search by prospect, company, title, status, campaign, or setter, and use the Campaign filter when needed. Each row shows the current contact status, campaign, who set the outcome, and when it was marked. Open the row chevron for recent call activity and saved notes, then choose an activity item to open the exact Call History record. This is an employee-only read-only report with no Call, completion, callback, or Calendar action. Export CSV follows the current report, search, and Campaign filter.
What the buttons do
- Pending / All
- Shows the combined Pending overview. In the separately enabled strict employee view, All removes every workflow control and directs work to the focused family tabs.
- Confirmation / Reschedule / Asked for Info / Referrals / Callback
- Opens one focused Pending family with that family's established controls and dialing rules.
- Filters > Follow-Up Stage
- Selects All Active, 1st, 2nd, or 3rd+ Follow-Up for supported active work, then applies the choice with Apply Filters.
- Follow-Up Stage > No Longer Pursuing
- Opens retained closure history after Apply Filters for the authorized account. It remains a read-only audit view when new closure actions are turned off.
- No Longer Pursuing
- After Activity Notes loads on an authorized supported row, opens the final confirmation that removes the prospect from active Follow-Ups, completes open Callback tasks, and preserves the contact and audit history.
- Retry Activity Notes
- Retries a failed prospect activity read. The final close action stays unavailable until the history loads successfully.
- Row chevron
- Expands supporting context and read-only engagement history. Revised Potential rows separate Activity from Notes without adding edit authority.
- Open Potential Meetings / Open Booked Meetings
- Opens the full source page. Revised Potential rows place Open Potential Meetings after the split Activity and Notes view. Revised Reschedule rows retain combined Activity and notes before Open Booked Meetings.
- Search / Campaign / Set By / Timing
- Narrows the current worklist by prospect, company, title, campaign, evidence-based setter, or due timing.
- Call / Call selected
- Opens the family-appropriate campaign Dialer only for eligible contacts. A blocked Potential or Asked for Info row remains visible with its reason and cannot enter selection or the call count. Leaving the Dialer reloads the originating Follow-ups tab from the server.
- Mark done
- Records the selected outcome. On revised Confirmation rows it appears immediately left of Call. Confirmed by email remains visible but leaves the confirmation call due.
- Select all visible referrals
- Selects only Referral rows that remain visible after the current filters.
- Call [campaign]
- Starts a separate campaign-scoped Dialer session for selected callable referrals, then reloads the originating Follow-ups tab when the session closes.
- Calendar
- Loads the authorized staff Calendar only when opened and offers an in-page Retry if the read fails.
- Filters
- Opens the complete internal property-rule builder plus authorized Follow-Up Stage choices. Apply Filters commits draft choices, and Clear All resets campaign, Set By, timing, stage, and property rules.
- Add property
- Adds an ANDed rule for Action Type, Follow-Up Date, Workflow State, Due Timing, Set By, Campaign, Prospect or Company, Title, or Timezone.
- Export CSV
- Downloads rows in the current filtered Pending, Done, authorized Calendar, or custom outcome report view.
- Inbound callbacks
- Opens the separate missed-call and voicemail recovery queue.
- Follow-up Date
- Uses the existing editable control only where this view owns date editing. Revised read-only Potential and Asked for Info rows show the same compact date card without enabling an edit. An expanded Reschedule row always shows its stored scheduled day in both editable and read-only presentations, including after a same-day call, and date and timing filters use that scheduled day.
- Custom outcome report tab
- Opens the employee-only read-only report for an enabled custom disposition and shows only contacts whose latest completed call still has that outcome.
- Potential breakdown
- Shows filtered active Potential follow-ups as Interested prospects plus legacy follow-ups in authorized employee views.
- All Activity / Calls / Notes / Emails / Updates
- Filters the authorized read-only Activity Notes timeline by source, shows each count in parentheses, and leaves zero-count filters visibly disabled.
- Save note
- In an expanded Potential row with the authorized employee Activity Notes presentation, saves through the existing note writer and refreshes the timeline after success.
- Grouped calls
- Expands a bordered card of consecutive calls that share the same result, SDR, and direction so every exact source record remains reviewable.
- Due this week
- Narrows enabled employee workspaces to follow-ups due Monday through Friday in each prospect local week.
- Call recency
- On enabled Potential and Asked for Info tabs, filters to calls in the latest five SalesHive business days, older calls, or no completed call.
